The WhiteDoc service allows you to hide your mailboxes from users of other accounts.
As a result, users of other accounts may not be able to find your mailbox by name when trying to send a document, unless they have access to your account:
This article is divided into two sections for your convenience:
- How to Hide or Make Your Mailbox Visible?
(for those receiving documents) - How to Send a Document if the Counterparty's Mailbox is Hidden
(for those sending documents)
Only a user with administrative rights in the account can change these settings
In the top right corner of the screen, go to the 'Menu':
Select 'Admin Panel':
Navigate to the 'Mailboxes' section:
Find the desired mailbox and click the 'Settings' button:
Look for the option labeled 'Hide name/alias from other accounts':
- If the slider is on, the mailbox is hidden.
- If the slider is off, the mailbox is visible.
If you cannot find your partner's mailbox by name, there are several ways to send documents:
- Use your counterparty's email address.
- Send an envelope using the mailbox UUID.
- Add the partner's hidden mailbox to your contacts.
Sending a Document by Email
When initiating an envelope, you can specify your counterparty's email address:
If your partner's default mailbox is selected, the system will automatically route the envelope to the correct mailbox.
If it is not selected, you will need to accept the envelope manually. Click here for more details.
Sending a Document to a Mailbox UUID
The mailbox UUID is a unique identifier for a mailbox in WhiteDoc.
Enter your partner's mailbox UUID, or copy it from previous envelopes, and paste it into the recipient field in processing the order:
In this case, the system will retrieve your partner's mailbox even if it is hidden.
Adding a Hidden Mailbox to Your Contacts
Go to your contacts and add your counterparty's hidden mailbox:
You will then be able to select such mailboxes from your contacts, even if they are hidden:
