What is SimplySign?
SimplySign is a mobile solution for using a qualified electronic signature (QES) provided by Certum, a Polish qualified trust service provider.
Unlike traditional electronic signatures based on a physical cryptographic card, SimplySign uses a virtual card containing a qualified certificate. This means users do not need a physical cryptographic card or card reader to use the signature.
The signature can be used on a smartphone or tablet, as well as on a computer. When signing on a computer, the mobile device is used to authorize and confirm signing operations.
Signature and identification level
SimplySign uses a qualified electronic signature issued by Certum and compliant with the eIDAS Regulation.
Such signatures are recognized throughout the European Union and have the same legal effect as handwritten signatures.
To obtain a qualified certificate, the certificate holder must complete an identity verification process. Once issued, the certificate is stored on the SimplySign virtual card and used to create electronic signatures.
Who can use SimplySign?
SimplySign is not limited to Polish citizens or residents. Foreign nationals can also obtain a Certum qualified electronic signature and use it through SimplySign.
A Polish PESEL number is not required for foreign nationals. Certum specifically provides a process for obtaining a qualified electronic signature without a PESEL number.
For identity verification, a foreign national may use:
-
a valid passport; or
-
an ID card, provided that the relevant document type is listed in the European PRADO database.
Accordingly, a non-resident of Poland can obtain SimplySign. Polish citizenship, a Polish residence permit, or a PESEL number is not required. For a Ukrainian citizen, a valid international passport is generally the most broadly applicable identity document for verification.
If a user wants to include their PESEL number in the qualified certificate, Certum requires documentation confirming that the number has been assigned. However, this is an optional feature and is not a general requirement for obtaining the signature.
Key requirements and limitations
To obtain and use SimplySign, users generally need to:
-
have a valid identity document accepted by Certum for identity verification;
-
complete the required identity verification process before the qualified certificate is issued;
-
have a Certum account;
-
have a mobile device with the SimplySign app installed;
-
have an internet connection;
-
obtain a qualified Certum certificate; and
-
have the certificate provisioned on the SimplySign virtual card.
You can obtain a certificate through Certum
The SimplySign mobile app is available through the Google Play Market or Apple App Store
The identity verification method depends on the enrollment process. Certum offers identity verification through its registration points, partner locations, and notary offices. For certain products, Certum also offers automated remote verification of identity documents and the applicant's identity.
Before applying, users should therefore confirm which identity verification method is available for the specific qualified certificate and the user's country of residence.
If the qualified certificate includes information about a company or other organization, Certum may also require documents confirming the organization's details and the user's authority to represent the organization. For foreign companies, equivalent documents issued in the company's country of origin may be accepted. Documents issued in languages other than Polish or English may require a translation.
The ability to use SimplySign with a third-party service depends on whether the relevant platform supports SimplySign as a qualified electronic signing method.
