  • Account — A user account that stores various information, including settings, roles, rights, and other relevant details about the multi-user system.

  • Account UUID — A unique identifier associated with your WhiteDoc account.

  • Web InterfaceA collection of tools used by a user to interact with the service via a web browser.

  • Dashboard — An information panel that presents key details about envelopes. This panel enables users to quickly create an envelope without needing to create a template.

  • Dictionary — A table of records, such as a list of employees (including name, surname, age, and address). Directories are utilized in templates to facilitate the easy filling of unchangeable data.

  • Diia.Signature — A qualified electronic signature that confirms the integrity of an electronic document and identifies the signatory. It serves as an equivalent to a handwritten signature.

  • EDS (Electronic Digital Signature) — A signature comprising data in electronic form, derived from a cryptographic transformation. It is attached to other data or documents to ensure integrity and identify the author.

  • External Document — This is intended for attaching files by one of the participants in the workflow. Acceptable file formats include PDF, doc, docx, xls, xlsx, xml, dbf, txt, rtf, png, jpg, jpeg, zip, tiff, tif, with a maximum file size of 50 MB (the total size of the envelope should not exceed 50 MB). An ‘EDS’ field can be included in an external document.

  • Envelope — The primary unit of document flow in the service, containing one or more documents and created according to a specific template.

  • User — An individual operating within an account on the platform. Users typically use the software product without needing in-depth technical knowledge.

  • User UUID — A unique identifier for you as a user within the WhiteDoc service.

  • QES (Qualified Electronic Signature) — An advanced electronic signature that complies with additional requirements. It requires a qualified certificate that verifies the authenticity of the signature and confirms the signatory's identity. The signature itself must be created using specialized hardware and software known as a Qualified Signature Creation Device.

  • Conversion Maps — Using XSLT, you can convert data from XML, XLS, XLSX, XLSM, and EDI files into any template. This conversion is conducted via SFTP.

  • Mailbox — An entity serving as the input/output point for document flow within the service. It can be personal or shared among several users within one account.

  • Mailbox UUID — A unique identifier for your mailbox.

  • User Profile — A visual display of personal data linked to a specific user or characteristics of the work environment.

  • Administrator Panel — A graphical control panel providing an environment for managing account and user settings.

  • Signatory — The individual responsible for controlling the key utilized to create an electronic signature.

  • Mailbox — A location where all envelopes (in various statuses) exchanged by users within your mailbox are displayed.

  • Structured Document — A document that can contain text and standard WhiteDoc fields.

  • Scenarios — Specialized algorithms for creating a new document envelope based on a previously completed envelope that meets the criteria defined in the scenario. A new envelope, like all envelopes in the service, is generated based on a template specified in the scenario. Scenarios also define 'triggers' (parameters) that can activate the process. This functionality allows for the creation of chains of envelopes and the transfer of data from one envelope to another, if necessary.

  • Token — A hardware and software device that safeguards private keys from copying or modification by unauthorized individuals. Tokens may take the form of a USB device or a smart card embedded with a chip. Examples include the Almaz-1K and Crystal-1 devices.

  • XMLA markup language that establishes rules for defining data. It facilitates the reassignment of data in a file or the automation of data replacement processes between files.

  • Cloud Signature — A legally binding electronic signature that is securely stored on the service provider's server, rather than on a personal computer, token, or USB stick.

  • Template — A set of user-defined guidelines for creating documents, including their structure and processing procedures, according to which an envelope is formed.

  • SmartID A qualified electronic signature analogous to a handwritten signature. It allows users to sign payments, documents, and reports, confirm their identity, and access services online using a smartphone.

  • CloudKey A service that enables users to store their personal electronic signature key with the provider, CSK Ukraine LLC, within a secure hardware and software device.
